Common terms used throughout FloorSimple.


Common terms used throughout FloorSimple.

  • Account code — a short identifier you can assign to a customer for accounting reference.
  • Active (customer) — a customer that hasn't been archived. Counts toward the Free-plan customer cap.
  • Contact — a person attached to a customer. Contacts can be flagged to receive estimates or invoicing. That flag drives who FloorSimple auto-suggests as the recipient when you email a quote or invoice.
  • Customer — a person or business you sell to. Has contacts, addresses, service orders, quotes, and invoices.
  • Customer cap — the active-customer limit on the Starter (Free) plan (25). Archived customers don't count.
  • Hosted payment link — a one-time URL pointing at a payment provider's checkout page (see Payment providers and Stripe). The customer pays on the provider. FloorSimple records the payment once the provider confirms it.
  • Invoice — the bill you send a customer for work done or deposits owed. Statuses: Draft / Issued / Paid / Void.
  • Invoice sync statesnot synced / pending / synced / error (see Invoices).
  • Line item — a single row on a quote, invoice, service order, or purchase order. Has a product (or free-text description), quantity, unit price, and total.
  • Measurement — a recorded dimension on a service order, typically one per room.
  • Outstanding invoice — an invoice with a remaining balance.
  • Per-record opt-out — the Notifications checkbox on a quote, invoice, or schedule entry that silences all automated messages for that record (see Automated notifications).
  • Phase — a step within a service order (e.g. Subfloor prep, Install) with its own schedule and status.
  • Public link — a shareable, password-free URL to a quote or invoice. The recipient can view and download the PDF but cannot edit. Valid 90 days from last generation.
  • Purchase order (PO) — an order you place with a vendor. Statuses: Draft / Submitted / Partially received / Received / Cancelled.
  • QBO sync badge — the indicator at the top of an invoice showing its current QuickBooks sync state (see Invoices).
  • Quiet hours — the per-shop window during which reminder messages are held. They release the moment the window ends (see Automated notifications).
  • Quote — the estimate you send a customer before they commit. Also called an estimate or proposal. Statuses: Draft / Sent / Accepted / Declined / Expired / Void.
  • Reply-To — the email address customer replies route to (see Shop settings). Required on every plan.
  • Reorder point — the on-hand quantity below which a product triggers the low-stock notification (see Automated notifications).
  • Seat cap — the per-plan limit on how many active users can be in your shop. Starter: 1. Pro: 5.
  • Service order — a job you're doing for a customer, from measurement to finish. Reference code prefix WO-.
  • Shop — your workspace inside FloorSimple. All data (customers, jobs, invoices, users) is scoped to your shop.
  • Shop calendar — your shop's job schedule. One per shop, shared by every team member. Created automatically; cannot be renamed or deleted.
  • Shop owner — the person who created the shop, or to whom ownership has been transferred. Has access to owner-only settings.
  • Shop staff — any teammate invited to the shop. Can use every core workflow except owner-only settings.
  • SKU — the stock-keeping unit identifier on a product. Required.
  • Tier — your subscription plan: Starter (Free) or Pro.
  • Vendor — a company you buy from. Distinct from a manufacturer: the vendor is who you pay, the manufacturer is the brand.
