Quotes

Send a quote, convert it into an invoice, and silence per-record notifications.


A quote is the estimate you hand a customer before they commit. Some shops call them estimates or proposals. Same record. The list is at sidebar → Quotes (/quotes).

Common tasks

  • Create a quote
  • Create a quote from a service order
  • Send a quote (PDF, public link, or email — see Sharing documents)
  • Convert an accepted quote into an invoice

Create a quote

  1. Click New quote.
  2. Pick a Customer (required), optionally a related service order, and any other fields.
  3. Click Create.

The quote opens on its Overview tab.

Create a quote from a service order

If the work is already captured on a service order:

  1. On /quotes, click From service order.
  2. Pick the service order. The quote opens pre-filled from the order's lines. Tweak before saving.

Send a quote (PDF, link, or email)

The action bar on the quote's Overview tab (PDF, Public link…, Email to customer) uses the recipes in Sharing documents.

Convert an accepted quote into an invoice

  1. Open the quote.
  2. On the Overview tab, click New invoice from quote.
  3. The invoice opens pre-filled from the quote's lines. Adjust and save.

Quote fields reference

The detail page has two tabs.

Overview tab

A Document totals card at the top shows Subtotal, Discounts, Pretax, Tax, Total.

The action bar (top of the Quote panel): PDF, Public link…, Email to customer, New invoice from quote, Archive quote.

  • Customer — required.
  • Service order — optional.
  • Billing address — optional.
  • Document number — required.
  • Status — Draft, Sent, Accepted, Declined, Expired, Void.
  • Currency — inherits from your shop (CAD or USD). Stamped at quote creation; no longer editable on the document afterward.
  • Rep — the shop user responsible for the quote. Defaults to whoever creates it. Optional.
  • Issue date
  • Valid-until date
  • Tax rate % (on pretax)
  • Internal notes — not customer-visible.
  • Customer-facing notes
  • Notifications — checkbox. Untick to silence every automated email and SMS tied to this quote (see Automated notifications).

Save changes commits; View customer jumps to the customer record.

Line-item list: charges, discounts, quantities, prices.
