Sharing documents (PDF, public links, email)

Three ways to send a quote or invoice: PDF, public link, or email-with-PDF. Same toolbar on both.


Quotes and invoices share the same set of distribution actions, available on the action bar of either document's Overview tab: PDF, Public link…, Email to customer.

Download a PDF

On the document's detail page, click PDF. The file downloads to your computer.

Email the document to a customer

  1. Click Email to customer.
  2. The To field is pre-filled with the best email the app can find on the customer. Top pick: a primary contact who's flagged for estimates or invoicing and has an email on file. Change it if you want to send elsewhere.
  3. Optionally add an Optional message.
  4. Click Send email.

The customer gets an email with the PDF attached and a link to view the document in their browser. Replies go to your shop's Reply-To address (see Shop settings).

Share a public link

Every quote and invoice has a public URL you can drop into a text or chat. The recipient doesn't need to sign in.

  1. On the detail page, open the Public link dropdown.
  2. Click Copy current link. The URL copies to your clipboard.
  3. Paste it wherever. The recipient sees the styled document with a Download PDF button.

Public links stay valid for 90 days from the last time they were generated. Rotating resets the clock on the new one.

Rotate (revoke) a public link

If a link leaked, or you want the old one dead:

  1. Open the Public link dropdown.
  2. Click Rotate (revoke old link) and confirm.

The old link stops working, and the new one is on your clipboard. Anyone trying the old URL sees a "This link is invalid or expired" page (see What customers see).
